Why is my Ed-Fi Data Inaccurate?

I set up the TEA Ed-Fi IODS connection in OnDataSuite and everything appeared to run as it should. When I look at our school information, the number of students and all information on the dashboard is way below our enrollment. I also don’t see any reports or queries with the 2024-2025 school year available. What would cause this, and how can I load again to see if it picks up more students and other information?

After you set up your Ed-Fi key/secret and establish a connection, OnDataSuite will immediately perform a “full-pull” of all your Ed-Fi data from the TEA IODS landing zone. Currently, the system is set to check for changes each night at 1:00am unless you have modified the Nightly Data Pull Schedule.

As of 9/6/2024 OnDataSuite released the Nightly Data Pull Schedule option which allows you to set the time ODS initiates your TEA Ed-Fi refresh under Administrator – Site Settings – TEA Ed-Fi IODS Connection. Nightly Data Pull Schedule

  • At the bottom of the screen is the Nightly Data Pull Schedule which is defaulted to 1:00 a.m. every morning to pull data from the TEA IODS landing zone.
  • To modify, click on the time’s dropdown box and change to the desired time. The change will be automatic and will give an updated time message at the bottom of the box.

Why would my counts be low or appear off ?

1) Make sure you work closely with your Student or Business system to make sure they are publishing all your data required for each submission to the TEA IODS landing zone.

2) You should also check any reports available in the TEA DMC Reports. These should reflect the data that your Student and Business systems have transferred. Note that Level 1 errors will prevent data from being published to the TEA IODS landing zone.

3) You may check the promoted record counts in OnDataSuite as follows:

  1. Navigate to the File Center>Data Sources tab
  2. Choose the Ed-Fi API button at the top left
  3. Choose the “Info” link to the right of the submission you are concerned with
  4. Review the promoted record counts in the TSDS Domain Summary section
  5. If you are seeing zeroes in the Student or Staff sections, those domains/entities are not publishing on the TEA IODS landing zone.
  6. Below are values you may see in the “Exception Error” Column.
    a) – “No Exception” Data is flowing ok.
    b) – “No Data due to Empty School Calendar Entity” (Summer Only)
    c) – “No Data” (Summer Only)
    d) – Numeric SQL Error Code, Please create a support ticket for these errors.
