AVID Elementary Site Data Collection Aid

Report Location: Student>Student Custom Reports>AVID

Summary: This report displays information related to completing the Elementary Site Data Collection Form for reporting to the online data entry system at my.avid.org.

Usage: This report is used to help complete the Elementary Site Data Collection Form information. Only questions that can be derived from PEIMS data robustly are included. This is why the report is labeled “Aid”; you need to review the data to ensure you don’t have other information that can be identified and included in the summary counts.

Data Sources:

• PEIMS Fall records
  • 30090 – Interchange Staff Association
• PEIMS Summer records
  • 40100 – Interchange Student
  • 40110 – Interchange Student Program
  • 42400 – Interchange Student Attendance
    • Note: Removed 2023-2024 due to not being able to determine which classrooms are taught by AVID Elementary-trained teachers versus non-AVID classrooms
• File Center>Data Sources>District>AVID

Special Note(s):

• AVID elementary students must be generated at the LEA level due to no identifying data reported to PEIMS for these students. The students should be uploaded to the File Center>Data Sources>District>AVID tab. Instructions can be found at:

Definitions:

• Includes campuses that have an Administrator>Overrides>Campus Type> Campus Type = Elementary.
• Students are reported at the last campus attended for the year selected.
• Columns/rows for all students include AVID students.

• Items 1 – 7 – Ethnic/Racial Identity
  • based on PEIMS current year summer enrollment records broken down by gender (E0004)
• Items 8 – 17 – School Grade Levels Available Note: Pre-K added 2023-2024
  • A green check mark will display if at least one student is in that grade level at the campus
• Items 18 – 27 – Students at Each Grade Level Note: Pre-K added 2023-2024
  • All Elementary Students – based on PEIMS current year summer enrollment records broken down by gender (E0004)
  • AVID Elementary Students – based on File Center AVID file broken down by gender
• Items 18 – 27 – Teachers at Each Grade Level Note: Added 2023-2024
  • Fall Role ID (E0721) = 087 and 047 and counted in all service IDs (E0724) that match the grade level
    • Note: Teachers who teach multiple grade levels will count in each grade level row following the Supplemental Instruction Sheet instructions: For teachers associated with multiple grade levels, such as those teaching combined classrooms, e.g., 1st and 2nd grade, please include the teacher in all appropriate grade level cells.
    • Note: The Total row is a unique count of teacher IDs
• Items 28 – 30 – Staff Roles and AVID Training Experience
  • Teacher – At least one 30090- Staff Responsibility record has a Fall Role ID (E0721) = 087 or 047
  • Counselor – All 30090 – Staff Responsibility records have a Fall Role ID (E0721) = 008
  • Admin – All 30090 – Staff Responsibility records have a Fall Role ID (E0721) = 003, 020, or 028

  • Fall Role ID (E0721) = 087 and 047 and all service IDs (E0724) in the combination grade levels and no other grade level service IDs
    • Example: If teacher has Art, Grade 1; Art, Grade 2; Art, Grade 3, the teacher will not be included in the combination counts since there are 3 grade levels
• Items 79 – Classroom Outcomes – Average Attendance Rate
