11/19/2024

  • Released:
    • Added new sections to the Administrator>Site Settings>TEA Ed-Fi iODS Connection screen:
      • PEIMS Summer Submission Settings – Requires PEIMS Summer promotion after changes are made

    • Resolved an issue in the Discipline section that prevented records from being inserted. The problem was due to the DisciplineActionIdentifier field being limited to 4 characters, whereas it can now be a  20-character limit as per updated specifications.

    • Updated Fall Promotion Logic: Ensure alignment with the following criteria: “Student Enrollment (School Association) subcategory, where StudentSchoolAssociation.EntryDate falls within the current school year and occurs on or before the Fall Snapshot date (the last Friday in October).” Requires Fall Promotion.

    • Fall Promotion has been corrected to now include students who enroll ON the snapshot date. Requires Fall Promotion.
    • Fall Economic Disadvantage values not correct have been fixed. Requires Fall Promotion.
  • IF your TEA Ed-Fi IODS has been deleted and republished by your vendor or you, please enter a ticket in OnDataSuite to do the same process in our Ed-Fi environment to ensure we are reporting your latest TEA IODS data accurately.

    • Currently working on promotion for Summer PEIMS Course Completion records. These have the potential to change over the next several days.

  • Released:
    • Students who had an exit date and reentry date after 10/25/2024 were not being included in snapshot counts. Updated PEIMS Fall Promotion logic to select the enrollment record with active status nearest to the snapshot date.
    • Updated pull logic from the TEA iODS landing zone to be 100X faster
    • CTE Attendance issues have been corrected as of 9:00 a.m. but will not be processed until Summer PEIMS has been promoted again. For most LEAs this will be over the weekend unless the scheduler has options selected that keep it from promoting Summer PEIMS or there were no changes on the TEA iODS landing zone (no new pull).
    • Missing Fall Staff Responsibility Campus/School assignments corrected with next Fall PEIMS promotion
    • Distinguished Level of Achievement fixed on the Fall Leaver Data Review report
    • Instructional Track modified in reports from 2 characters to 60 characters (CalendarCode – E0975)
    • NEW: TEA Ed-Fi iODS Student Profile JSON screens added for summer PEIMS entities
    • PRS FTE calculation released as of 1:30pm today. Requires Summer PEIMS promotion.

  • We had to make significant changes to our backend data pull process yesterday which required a full data pull instead of the usual incremental updates. Due to this change, data might be currently being pulled and will be re-promoted soon. Normally, this would happen during our nightly load window, but we wanted to closely monitor the promotion of the data from our landing zone table to the ODS application. We apologize for the inconvenience!
  • Updated all Attendance records (basic and special programs) to load multiple campuses if students transferred between schools.

In an on-going effort to assist School Districts with understanding the Ed-Fi API process and how it works with OndataSuite we have scheduled 6 new zoom sessions.  We will conduct one session a week from now till the first week of December.  Sessions will be held on Thursday of each week at 2:00pm.  Registration is limited to 100 participants per session.  We will focus briefly on specific common issues we are seeing and look forward to questions.

  • We apologize that the Latest TEA Ed-Fi iODS Pull Log history appears to show No Changes prior to today. During last night’s patch, we had to perform a full pull, which unfortunately resulted in the deletion of the previous pull history making it look like there were no changes. We are implementing improvements to our logging process to ensure that future patches will not affect the pull history in the same way.

10/8/2024

  • Over the course of this evening, we are running full pulls and promotions on all LEAs due to the TEA technical changes for the 2025.2.0 and 2025.2.1 version releases. This is a major change and has the possibility of modifying data that appeared accurate in the past. We are monitoring this progress on several LEAs, so if there are any major issues, we will see it, and rest assured are working on it! Since we are a consumer of the data on the TEA Ed-Fi iODS landing zone, if your SIS or ERP vendor has not yet made the adjustments for the TEA releases, the data in certain areas, especially staff, will not be accurate. Please make sure your SIS/ERP vendor has completed their technical changes for these releases and applied these to the publishing of the transactional data to the TEA Ed-Fi iODS before reviewing data in OnDataSuite. If after this, you are still having issues, please submit a ticket.

  • Fall Census Block Group reporting and Census Tier Mapping has been updated in OnDataSuite and is being finalized on all LEAs with today’s Fall Promotion Logic processing.
  • Updated bottom black footer information for the latest pull from the TEA Ed-

    • Changed wording to be more explanatory of what the time/date indicates
    • Changed to yellow font to stand out more

  • Over the weekend, TEA is releasing the 2 newest versions of the data standards, 2025.2.0 and 2025.2.1, that include technical changes to the structure of some entities. Staff records will be largely impacted by this release, and we will be working diligently to incorporate these into OnDataSuite, but we will be dependent on your SIS/ERP vendors implementing the changes. The coming weeks will involve changes to incorporate these TEA technical updates especially in the staff records.
  • We are working on an issue related to the Fall Census Block Group reporting and expect a fix to be released today.
  • We have found an issue with Summer PEIMS Discipline records promotion and are working on a fix to be released next week.
  • We are still reviewing Summer PEIMS special program attendance records. We do not have an ETA at this time of when that will be completed.

9/27/2024

  • We are continuing to find issues with data published on the TEA Ed-Fi IODS landing zone related to promotion logic. The most recent issue had to do with a trailing zero in the District ID for some LEAs. While trying to address this, we inadvertently caused other issues where dashboards, etc. no longer showed counts. We are resolving this issue as quickly as possible and anticipate by late this afternoon Ed-Fi data will be populating the dashboards, reports, etc. We appreciate your patience and understanding as we work to fully stabilize a very complicated process that continues to evolve as TEA sends out new version updates and SIS/ERPs respond to these changes.

  • Residential Facility Tracker is now being promoted
  • We have discovered an issue with at least one vendor, Ascender, who is not loading as of status codes to the IODS which is a crucial part of Fall promotion logic. We will be investigating if there is a way to circumvent this, but as of right now, if you have the Ed-Fi Rule 40100-000G showing an error count that closely matches your fall student counts, you will not see 24-25 fall data in OnDataSuite. Please see Steps to Follow if Ed-Fi Data Not Appearing/Has Zero or Low Counts for other situations that might cause your data to appear off.

  • We have discovered a process that is happening with the TEA IODS that affects our Ed-Fi API reporting.
    • STARTING TOMORROW: If you send in a TIMS ticket to TEA to completely erase your IODS for any reason, please additionally submit a ticket in OnDataSuite asking us to do the same thing. We are also working on adding a button to the TEA Ed-Fi IODS Connection screen that will allow the LEA to do a complete erase and new full pull so there is local control, but until that occurs, please submit an ODS ticket.
    • If you are having issues with data today, please wait until tomorrow to turn in tickets. We are currently doing new full pulls on all LEAs.

  • PEIMS Fall Promotion Logic – Fix has been released to put students in the correct Fall Snapshot or Not Enrolled in Snapshot counts according to the as of status codes and display information that was missing.
    • This process will take some time to conclude on all LEAs, so please check 9/19/2024 before submitting a ticket if there are still issues.

9/17/2024

  • Reorganized the Info link for API files for better readability (less wrapping)
  • PEIMS Fall Promotion Logic – An update was made over the weekend that attempted to move as of status students = C, E, G to the Not Enrolled in Snapshot counts instead of in Fall Snapshot counts. Due to this update, some data such as gender, ethnicity, and race and more disappeared. We are currently working on correcting these issues.
  • PEIMS Summer – The basic attendance (not special program attendance) should now be promoting successfully and displaying in reports. We recommend running the Refined ADA Report and drilling down into the First Six Weeks ADA value to review student data.

  • Ed-Fi Rules now available in beta format for PEIMS Fall
    • Initial run for all LEAs occurring weekend of 9/14-15
    • Subsequent runs will occur with nightly pulls if any data is changed on the TEA IODS landing zone
    • Currently, you can view LEA rules down to the detail level
    • Next to come: Campus filter, Updated views to show more information per rule, Export to Excel capabilities, Notifications
  • RF Tracker API files are being removed from the File Center and API pulls are being turned off temporarily to address issues
  • Summer promotion logic is still being tested by programming staff

  • Some LEAs are having issues with the Key and Secret on the TEA Ed-Fi IODS Connection screen. We have added this statement to our instructions:
    • Note: Due to characters such as I (capital I) or l (lowercase L) being interpreted differently depending on keyboard attributes, etc., it is highly advisable to first paste the key and secret to Notepad or Notepad++ and then copy/paste that to the Key and Secret in OnDataSuite.

  • Ensure successful connection by entering key/secret on the Administrator>Site Settings>TEA Ed-Fi IODS Connection screen
    • Helpful Hint: Setting up ODS as a Read-Only All Resources should only be done in TEAL, not in the SIS or ERP system
  • API Status: Charter School Waitlist and PEIMS Fall are promoting. They can be found under the File Center>Data Sources>TSDS Ed-Fi>Ed-Fi API tab.
  • API PEIMS Mid Year, PEIMS Summer and RF Tracker coming in the next few weeks
  • TSDS Business Rules-Fall PEIMS anticipated to be released by 9/1/2024
  • OnSync has been disabled for loading 2024-2025 XML files (they must be manually loaded)
  • File Center>TSDS>PEIMS (XML, CSV) – 2024-2025 XML files can be manually loaded if the SIS/ERP has the capability to export them
  • XML Review tab added to review 2024-2025 interchange data if loaded
