NOTICE: As of 05/12/2026 We have updated the CCMR EWS supplement file parser to accept the new file format listed below. Your supplement file upload will need to include all column headers (Column Span A – V) in the exact order listed below.

Users who are making adjustments to prior year uploaded CCMR EWS Supplement Files will need to download and use the new template listed below.

This update was necessary to accommodate the use of the new ‘W’ indicator that can be used for working submissions. (This is currently in the beta testing stage but will be released soon)

 What this file is used for

  • Uploading the supplement file will only affect the CCMR EWS report. Upon its upload it will create a column indicator value of ‘S’ or ‘W’ to signify that the district has uploaded a place holder value other than the standard Yes (‘Y’) or No (‘N’) column value associated with assessment loads or a PEIMS confirmed record on file.
  • By its nature the CCMR EWS report was created to only show associated values from confirmed data sources such as PEIMS or the College Board data files that meet the CCMR benchmark requirements and display results as either a Yes

Understanding Supplement Indicators (‘S’ and ‘W’)

The supplement file acts as a placeholder for CCMR data that has not yet been confirmed by PEIMS or third-party sources (e.g., College Board).

  • ‘S’ (Supplement): Used for districts to show preliminary point accrual for items like Industry Certifications, IEP, and Military Enlistment.
  • ‘W’ (Working Submission): New starting 2025-2026 – Used for students who will not have confirmed PEIMS data to support their achievement or for corrected prior-year data outside the standard timeline.
  • Point Value: Both ‘S’ and ‘W’ indicators grant a point value of 1 in the CCMR EWS Met column.

Critical File Requirements

To ensure the file loads correctly, you must adhere to these formatting rules:

  • File Format: Must be Excel (.XLS or .XLSX).
  • Header Structure: You must include all column headers (Span A – V) in the exact order listed in the official template.
  • Student Matching: Column B (Student ID) must match the Local ID (e0923) or TX Unique ID (e1523) already in the system.
  • Note: Ensure leading zeros are included (e.g., 001123456) if they exist in PEIMS.
  • Required Fields:
    Accountability Year (Column A) is mandatory for every row.
    Student ID (Column B) is mandatory for every row.
    Student First Name (Column Q) is mandatory for every row.
  • One Row Per Student: The system will not accept multiple rows for a single student.

The “Wipe and Replace” System

The CCMR EWS Supplement system functions on a wipe and replace logic.

  • Uploading a new file automatically deletes the previously uploaded supplement file.
  • To add or remove students, you must upload an entirely new, comprehensive list.
  • Example: To add 10 students to an existing list of 100, your new upload must contain 110 students.

CCMR Supplement File Layout / Override Process

This document outlines what fields have required data and how the ‘S’ and ‘W’ values will be overwritten if applicable by assessments or PEIMS data.

Accepted supplement file values
The uploaded supplement data file must contain only the accepted values as specified in the supporting documentation provided in the link below or the results will not show as an ‘S’ or ‘W’ in the CCMR EWS report.

Understanding the ‘S’ in the EWS and Student Profile

Supplement ‘S’ used in calculation of TSI
To achieve a CCMR Met status of ‘Y’, a student must satisfy both the ELAR and Math TSI requirements through official data. If supplement values are used to meet these criteria, the CCMR EWS Met status will remain as  ‘S’ until the data is formally overridden by new official results (Override Logic) or the student has been removed from the list.

Supplement ‘S’ used outside of the calculation of TSI
For non-TSI indicators, the CCMR EWS Met status will remain as  ‘S’ until the data is formally overridden by new official results (Override Logic) or the student has been removed from the list.

Understanding the ‘W’ in the EWS and Student Profile

Supplement ‘W’ used in calculation of working submission
A student that has a ‘W’ value in any reported location indicates that a supplement file has been added for the student in association with the PEIMS working submission. The CCMR EWS Met status will remain as  ‘W’ until the student has been removed from the list.

Supporting KB – Working Submission

Where will the results be visible

When a record is matched via the CCMR EWS Supplement file, the CCMR EWS report will display an ‘S’ or ‘W’ in both the reported row and the “Met” column in the CCMR EWS report. This match automatically assigns 1 point to the numerator, signaling the data originated from the supplement file.

How to Review and Modify Data

1. Verification: After uploading, navigate to the OnPoint CCMR Tab and select the EWS Supplement report located under the EWS Support Files section

2. Modifying Data:

  • While in the EWS Supplement report, go to the Tools menu located at the top right of the report.
  • Select ‘Export to Excel’ to download your current list.
  • Make your changes (add/remove/edit) and re-upload the file.

ALWAYS make sure before you re-upload your updated file, that the data file format matches the most recently released, required data file format as posted in the template link offered above.

3. Overrides: Once a student is on this list, they maintain supplement status until their 12th-grade year, at which point the status is potentially overridden by assessments or PEIMS confirmed values.
